Executive Board Position Descriptions and Responsibilities

Executive Team Position Descriptions

Executive Director

The Executive Director responsible for:

  • Maintaining and managing the vision of the organization while upholding the four pillars of a Habitat for Humanity Campus Chapter (fundraising, volunteering, advocacy, and education).

  • Continuously working towards the betterment of the organization in whole and looking for ways to innovate the functions of the board

  • Aiding all board members in furthering leadership development through use of reflections and workshops.

  • Facilitating bi-weekly general meeting and weekly Executive Team meetings, preparing meeting agendas and slides.

  • Sitting on the Council of LionHearts and aiding in any necessary projects or volunteering associated with the Council.

  • Maintaining the relationship and setting up monthly meetings with the Campus Chapter’s advisor.

  • Maintaining the relationship with the Greater Centre County Affiliate and Executive Director, setting up bi-monthly meetings with the Executive Director, and attending the monthly Greater Centre County Executive Board meetings.

 

Vice President

The Vice President is responsible for:

  • Maintaining and managing the vision of the organization while upholding the four pillars of a Habitat for Humanity Campus Chapter (fundraising, volunteering, advocacy, and education).

  • Assisting the Executive Director as needed.

  • Running any meeting that the Executive Director is unable to attend.

  • Attending the Greater Centre County Executive Board meetings.

  • Sitting on the Council of LionHearts and aiding in any necessary projects or volunteering associated with the Council.

  • Overseeing and assisting all committees when the need arises.

  • Coordinating all building, renovation, and ad-hoc projects with Greater Centre County Habitat.

  • Coordinating all Restore dates with the Greater Centre County Restore Manager.

  • Securing weekend build trip locations and dates for each semester.

  • Coordinating alternative service events for the entire organization, alongside house leaders.

    • These events include blood drives, alternative building projects, special opportunities, etc.

  • Taking on the planning of any special projects given to the organization, or within the organization.

 

Treasurer

The Treasurer is responsible for:

  • Maintaining the budget of the organization.

  • Working alongside the Executive Director to determine allocation of funds.

  • Keeping a treasurer report to log all transactions and balances for the duration of the term.

  • Collecting organization dues and coordinating Spring Break payments.

  • Ensuring that all checks are appropriately deposited, and processing any necessary refunds and check requests.

  • Working alongside the Executive Director with consent from the rest of the executive board to determine donations to the Greater Centre County Affiliate, as well as the Habitat for Humanity International Tithe.

 

Secretary

The Secretary is responsible for:

  • Maintaining the membership listserv.

  • Adding all new members to the listserv and to a House at the beginning of each semester as well as when any new members join, and informing House Leaders of new House members.

  • Sending general meeting recap emails to all membership, and any additional emails for any short notice events.

  • Managing the Penn State Habitat for Humanity Gmail account and responding to emails within 48 hours.

  • Maintaining an accurate representation of member involvement following the point tracking system.

  • Creating sign-up forms for any event the organization holds.

 

Public Relations Chair

The Public Relations Chair is responsible for:

  • Maintaining and updating the organization’s website regularly.

  • Writing newspaper articles about organization events and submitting to local newspapers and media outlets where applicable.

  • Managing social media accounts for the organization while posting and interacting regularly.

  • Continuously working towards furthering the general outreach of our organization by networking with other organizations and businesses and sharing content through social media.

 

 

Fundraising Chairs

There is no hierarchy for these positions, the numbers are arbitrarily assigned. The fundraising chairs will be working together for the following responsibilities:

  • Finding new fundraising opportunities for the Penn State Habitat for Humanity Campus Chapter.

  • Ensuring all funds are acquired from fundraisers and deposited appropriately by working with the Treasurer.

  • Sending reminder emails to all event participants at least 48 hours before each event.

  • Recording procedures for new fundraising events and updating procedures for reoccurring events.

  • Sitting on the Fundraising Committee.

 

Each fundraising chair has individual responsibilities as follows:

 

Fundraising Chair 1 is responsible for:

  • Coordinating all concessions events (Pegula, BJC, Spikes, etc.).

 

Fundraising Chair 2 is responsible for:

  • Coordinating alternative fundraising events (Yoga, Spaghetti Dinners, the 5K, etc.).

 

Spring Break Coordinators

There is no hierarchy for these positions, the numbers are arbitrarily assigned. The Spring Break Coordinators will be working together for the following responsibilities:

  • Choosing spring break locations and determining the number of trips/spots that should be available for the current year, alongside the Executive Director and Service Vice President. 

  • Determining trip leaders, preparing a trip leader training session, and placing general members onto trips.

 

Each Spring Break Coordinator has individual responsibilities as follows:

 

Spring Break Coordinator 1:

  • Preparing all UPAC paperwork.

  • Securing UPAC Funding.

  • Obtaining rental vans from Enterprise for each trip.

 

Spring Break Coordinator 2:

  • Serving as the campus contact for Habitat for Humanity International and registering for trip locations on scheduled day.

  • Communicating with affiliates prior to spring break trips.

  • Creating the spring break application forms and keeping track of the collection process of applications, waivers, forms, and payments in conjunction with the Treasurer.

  • Managing the Letter Writing Campaign.

 

Social Chair

The Social Chair is responsible for:

  • Coordinating social events for the entire organization, alongside house leaders.

  • Taking on the planning and execution of any special projects given to the organization, or within the organization as applies.

  • Assisting the house leaders as needed.

  • Sitting on the Social Committee.

 

House Leaders

There are 2-3 house leaders. Each house leader is responsible for:

  • Planning social and volunteer activities for his/her respective house throughout the entire academic year.

  • Creating a GroupMe for respective houses, and sending regular update messages.

  • Keeping up with new member additions, sending welcome messages, and adding new members to the House GroupMe.

  • Leading house meetings in conjunction with Penn State Habitat for Humanity general meetings.

  • Collectively meeting alongside the social committee in order to plan social activities for the entire chapter, including the house tournament.

 

Committee Descriptions 

Committees are a great way to get involved in the Habitat for Humanity campus chapter and gain leadership and planning experience. Talk to an exec board member if you have any questions about committees.

Social Committee

  • Open to all general members to join.

  • Overseen by the Social Chair, House Leaders and Secretary.

  • Plans large events for the whole club. 

  • Get involved!  Bring your ideas and skills!

 

Fundraising Committee

  • Open to all general members to join.

  • Overseen by the Fundraising Chairs and Treasurer.

  • Plans large fundraising events such as the Gingerbread Build and Habitat 5K.
